The Executive Board met on November 19, 2024 at 10 a.m. via Zoom to discuss the details of a new award opportunity. This award will be fully funded by Christine Barrier, Cabarrus Administrative Assistant who will be retiring with 50 years of service at the end of the year.
Quorum was verified by Parliamentarian Susan Johnson in case we needed to have a vote.
Julie had shared the award information and nomination form with the board on Nov. 5th and the board had some additional questions. Julie and Sherry met with Christine via Zoom on Nov. 13th and Christine shared :
- Her intention is to fully support the award – the monetary award along with the cost of the decorative shoe.
- She plans to provide startup funds of $500 and her goal is to increase the funds so the award balance would be similar to the Sue Mills award balance.
- For ease of access, the award fund would be run through our NCCEAPA checking account, earmarked specifically for this award.
- If for some reason there isn’t interest for several years, any funds leftover would be returned to her.
- Award will be offered as long as funds are available.
Discussion followed on the actual “shoe” to be used for the award. Julie shared that Christine was not picky and stressed that it is Christine’s intention not to have this award be a burden on the association in any way.
Board also discussed lighthouses that are used for the Sue Mill Lighthouse award as we are down to one lighthouse and will need to order more. We will need to purchase lighthouses and submit for reimbursement from the endowment. Christine is trying to avoid adding more work for us and after she talked to the endowment office, it was advised it would be much simpler to run it through our state association checking account.
Christine has already spelled out award criteria and nomination process and she would like the award nomination period to coincide with our other awards to keep it simple.
Discussion on how the funds would be housed, and we all agreed we could add a line in our budget and funds could be run through our NCCEAPA checking account.
Christine would like to announce this new award at her retirement and have this award included in our next award cycle. She wants it finalized prior to announcing and in order for this to happen quick action is needed.
Susan shared the steps that we need to take in order for this to happen.
Next steps:
- Julie will send out notice today that we are going to have a motion made to amend the adopted budget. We will not share who is providing the award at this time as Christine will be announcing it.
- Then Julie will send out for vote to the Board of Directors and if approved it will go to general membership for vote.
- If passed we can amend the budget with net zero change .
Sherry Lynn made a motion to move this forward to Board of Directors; Pam Jordan seconded.
Executive Board voted to move this forward; all voting eligible members of the Executive board voted yes (Roben and Susan are non voting members).
Board discussed Kareis’s position as she is the NCCEAPA 2nd Vice President as of Oct 1; her JCEP representation runs through December 31, 2024. No person can hold two voting positions at same time; however, our bylaws were recently updated to protect our association and officer voting rights. Kareis can vote as NCCEPA 2nd Vice President.
NC JCEP Winter Forum discussion – need to let Roben know if you are able to attend the December 6th meeting in Raeford. Many of us cannot attend so Roben asked Julie if we should extend to district presidents to see if we can fill our spots, and if they can’t attend maybe someone else on their board can attend. We have 13 slots to fill.
